ZSR Special Collections and Archives Student Assistant Guide: Working in Special Collections

This is a helpful guide for student assistant employed in ZSR's Special Collections and Archives.

Sign-In/Sign-Out

  • Students are required to sign-in in room 629 at the beginning and the end of all of their shifts
  • Make sure you put your hours into Novatime at the end of each shift

Punctuality and Attendance

  • Each department requires that you be on time for your shifts. These are shifts that you have agreed to work.
  • If you are unable to make a shift or are going to be late, please let your supervisor know. Also, please abide by department policies on acquiring a substitute for your shift.
  • If you are having problems with a shift, please talk to your supervisor immediately. 

Keys and Locked Doors

  • Students can "check out" keys when signing in, depending on project needs
  • Keys must be returned to 629 at the end of your shift
  • Students must make sure doors are locked behind them when leaving the stacks or other unattended rooms
  • Under no circumstances should students leave doors unlocked, even if stepping away for a minute.

Grounds For Suspension and Dismissal

  •  Excess tardiness and repeated absences may result in dismissal.
  • Failure to adhere to customer service standards may result in dismissal.
  • Although suspension related to academic performance is unlikely to affect your employment status at the library, you may be terminated if you are suspended for honor code violations or criminal matters.
  • Federal work study program students are automatically removed from the payroll when suspended.
  • Falsifying your Novatime hours is grounds for immediate dismissal. They need to be as accurate as possible. If you log your hours every day you work when you come in to work, this will not be a problem.

Disciplinary Procedures

  • The first incidence may be acknowledged in person, by email or by phone. The desired behavior will be discussed.
  • The second incidence may be conveyed either in person or by e-mail, however both student and supervisor must sign acknowledgement and improvement plan. (If student fails to acknowledge email or voice mail, then a deadline for a response is given. If response is not received by agreed upon deadline, student worker will be dismissed.)
  • The third incidence will result in dismissal.
